President
The President directs and coordinates the activities of the PTO. They preside over all meetings of the board and membership. The President serves as the liaison between Heartland Elementary and the Blue Valley School District, attending monthly meetings for PTO Presidents at Blue Valley District Office. They shall present reports for any other board positions who are not able to attend a meeting. The President shall cast one vote in the event of a tie.
President Elect
The President Elect shall work closely with the President to become familiar with all facets of the PTO. They shall assume the office of President the following year. They shall fulfill the duties of the President if the President is unable to.
Treasurer
Shall be responsible for depositing monies due to the organization in its authorized bank account, making disbursements from these funds for authorized expenses of the organization as approved by the board.
Shall file all Federal and State reports as required.
Shall present written statements at all board meetings.
Shall be responsible for maintaining a record of paid membership total.
Shall prepare or cause to be prepared an annual audit.
Shall have checks or vouchers signed in accordance with the process outlined and authorized by the bank signature card.
Assistant Treasurer
Assists the treasurer with balancing the checkbook, paying bills, etc.
Covers duties of the Treasurer if the Treasurer is unable.
Vice President of Fundraising
Oversees and evaluates all PTO fundraising events.
Participates as a member of each fundraising committee.
Explores new ideas and opportunities for raising additional funds.
Vice President of Communications
Acts as communications hub/coordinator between PTO Board and school, disseminating information via appropriate and necessary channels.
Create Canva graphics as needed to promote events and activities to the school community. Distributes these graphics to Dr. Sauceda for Jag News inclusion and Social Media chair, as well as via email or printed flyers as needed.
Communicates regularly with Social Media chair to ensure promotion of various events, activities, and updates on the PTO Facebook and Instagram accounts.
Coordinates with Dr. Sauceda every week to include necessary dates and information in the Jag News newsletter.
Vice President of Events
Coordinates the scheduling of all facility and set-up reservations for PTO sponsored activities through the Blue Valley School District. Serves as the liaison between committee chairs and the board for event approval.
Vice President of Social Media
Monitors and updates all PTO social media sites.
Plans social content and executes posts accordingly.
Coordinates with VP of Communication to ensure that all necessary dates, flyers, etc. are included and promoted on social accounts.
Communicates with families submitting questions via social media.
Secretary
Shall attend and record the minutes of the board and general membership meetings and will make available to the board and others upon request.
Shall be responsible for recording written correspondence outside of committee events, on behalf of the PTO.
Shall record attendance at all meetings.
Webmaster
Manages the Membership Toolkit (MTK) website, which houses the PTO web content and database.
Coordinates with VP of Communication to ensure that all necessary dates, flyers, etc. are included and updated on the MTK website.
Cultural Ambassador
Acts as liaison between the PTO and the diverse parent and caregiver community, bringing into consideration any needs such as communication channels, event and holiday obligations, and the like.
